Privacy Policy

What the guild site collects, who can see it, and how to get it removed. In short: we hold what you give us, the roster is public on purpose, and we do not track you.

Who we are

This site is run by Envoys of the Lost, a Guild Wars 2 community. When this policy says "we", it means the people who run the guild and its website.

The people responsible for the information this site holds — in the language of the law, the data controller — are the officers of Envoys of the Lost. The address below reaches them.

For anything to do with your data, write to contact@envoysofthelost.com. A person reads it; you do not need to use any particular wording.

This is a fan site. It is not run by, and has nothing to do with, ArenaNet or NCSOFT.

What we collect, and why

Signing in

You sign in with Discord. Discord tells us your Discord ID, your username, your avatar and the email address on your Discord account. We use it to create your member account, to show you as a member of the guild, and so officers can manage ranks. Without it there is no way to have an account here.

Your member profile

A display name, an optional short bio, your Guild Wars 2 account name and your rank in the guild. You control all of this from your account page, apart from the rank.

Linking your Guild Wars 2 account

If you link your game account, we store the API key you give us, the permissions it carries and the name you gave it. We use it to confirm the account really is yours and to run the achievement tools. Nobody else on the site can read your key. You can unlink at any time from your account page, which deletes the key.

Screenshots you upload

The image itself, any caption and alt text you write, and the fact that you uploaded it. An officer reviews every upload before it appears in the gallery.

Events

Our events are organised through Aleeva, a Discord bot. The site copies them across read-only so they appear on the calendar — the title, the times and the Discord name of whoever is leading the event. Signing up happens in Discord, not here. The site never takes signups and cannot change anything in Aleeva.

Technical data

Our hosting provider records ordinary web server information such as your IP address and which page you asked for, and keeps it for a short period to keep the site running and to deal with abuse.

We also measure how many people visit which pages. That measurement uses no cookies, does not follow you to other sites, and does not build a profile of you.

What other people can see

Some of what you give us is deliberately public, because a guild roster nobody can look at is not much use. Anyone visiting the site, signed in or not, can see:

  • Your display name, avatar, Guild Wars 2 account name and rank on the member roster

  • Any gallery image of yours that an officer has approved, together with your display name

  • Events and the name of the member leading them

Your email address and your Discord ID are not shown on the site. Your Guild Wars 2 API key is never shown to anyone, including officers.

If you would rather not appear on the public roster, write to us and we will take you off it.

Cookies and browser storage

We do not use tracking or advertising cookies, and there is nothing here to consent to. That is why you are not being asked to dismiss a cookie banner. What the site does store on your device is limited to the following.

  • Staying signed in — a cookie that keeps you logged in. Without it you would have to sign in again on every page.

  • Event timer settings — the maps and rows you mark as favourites are remembered in your own browser. They never reach us.

  • The achievement tool — if you use it, your Guild Wars 2 key is kept in your own browser so the tool can work.

  • Visitor numbers — no cookie and nothing stored on your device.

Embedded videos are the one thing that would otherwise reach outside the site. They do not load until you press play: the site shows a still image, and only when you choose to watch does anything load from YouTube. If you never press play, YouTube and Google are never contacted.

Who else handles your data

We keep this list as short as we can. Each of these companies handles data on our behalf, under a contract that limits them to what we ask for.

  • Vercel — hosts the site

  • Supabase — the database and the storage for uploaded images

  • Storyblok — the system that holds the site's text and images

  • Aleeva — the Discord bot our events come from

  • Discord — handles signing in. Discord is responsible for your Discord account in its own right, under its own privacy policy.

  • ArenaNet — we query the Guild Wars 2 API from our server to verify accounts and read achievements

Some of these companies are based outside the European Economic Area, or use infrastructure that is. Where that happens, the transfer relies on the safeguards that European law provides for it, such as standard contractual clauses or an adequacy decision.

We do not sell your data, and we do not share it for advertising.

How long we keep it

  • Your account and profile — for as long as you have an account. Ask us to delete it and it goes, along with your linked game key and your uploads.

  • Your Guild Wars 2 API key — until you unlink it, or until your account is deleted.

  • Gallery images — until you delete them, or your account is deleted. Rejected uploads are removed.

  • Events — kept as a record of what the guild has run.

  • Server logs — kept briefly by our hosting provider, then discarded.

Your rights

Under the GDPR you can ask us to:

  • Show you what we hold about you, and give you a copy

  • Correct anything that is wrong — most of it you can edit yourself on your account page

  • Delete your account and the data attached to it

  • Restrict or object to what we do with it, including anything we do on the basis of legitimate interest

  • Hand it over to you in a portable form

Write to contact@envoysofthelost.com. We will answer within one month. There is no charge.

You need a Discord account to join, and Discord sets its own minimum age. If you believe a child has an account here, tell us and we will remove it.

Changes to this policy

If we change how the site handles your data, we will update this page and change the date below. If the change is a significant one, we will say so in Discord rather than quietly editing the page.
